The Village Clerk is an elected part-time administrative non-voting member of the Executive Board.

Key Duties: 

  • Elected Executive Board Member: Serves a two-year term following election at the regular spring election in odd-numbered years.  As a non-voting member, this role helps oversee village governance and ensure village ordinances are faithfully enforced.
  • Elections & Officials: Performing all duties required by law relative to elections, keeping election returns open for inspection, notifying elected or appointed individuals, and transmitting certified statements of officers to the County Clerk and Circuit Court Clerk.
  • Meetings & Official Records: Attending all Village Board meetings, Board of Review, Planning Commission, Board of Appeals and Public Hearings, recording minutes; maintaining the Minute Book, Ordinance Book; files the Finance Book submitted by the Village Treasurer;  Countersigning, publishing, or posting notices, ordinances, bylaws, and resolutions, and keeping proper proof thereof.
  • Records Custody: Serving as custodian of the corporate seal and safely keeping all Village books, records, papers, and property, including obtaining and filing records from elected and appointed officials. Managing record access, public examinations, copy requests, and checkout tracking.
  • Financial & Tax Administration: Drawing and countersigning all treasury orders directed by the Board. In consultation with the Village Treasurer, completing the tax roll, transmitting levy statements to the County Treasurer, and notifying the County Treasurer by February 20 regarding tax revenue and credit disbursements.
  • Administrative Tasks: Handles mail, phone calls, and email correspondence; Co-ordinates the Village Newsletter; Maintains and publishes a Village Directory; Co-administrator of the Village website.
  • Processing Licensing & Permits: Logs applications and routes them to the correct recipients; Prepares approved permit placards and issues official license certificates; Monitors permit status 
  • Additional Statutory Duties: Endorsing street trade permits as requested and fulfilling all other duties mandated by law, ordinance, or Board direction.
